you may order these directly from the suppliers detailed in the
Exhibitors’ Service Kit.

Beck has been appointed the official Exhibition Service company
for the show.
Additional items of furniture, floral, carpet, graphics, lighting
or electrics can be ordered on-line from the exhibition company,
Melville Beck www.melville.co.uk.
If you wish to use the on-line facility, please click on the on-line
ordering button when entering the website and then select ISMB/ECCB
from the drop down menu. You will then be asked to register to
use this facility.
If you wish a hard copy of the service kit these will be available
in April of 2004 and you can write Stephanie Hagstrom at shagstrom@iscb.org
to obtain a copy. Melville Beck will staff a service desk on-site
during build and breakdown to assist exhibitors with all services.
Please note that orders for additional requirements should be
placed before the deadline dates indicated on the forms, as placing
orders on-site will incur substantially higher charges. |

The exhibition will take place
in Hall 4 at the Scottish Exhibition and Conference Centre. (Insert
link to map of Exhibition Center)
Exhibition build will take place on Friday, 30 July with exhibitors
allowed access to their stands from 1700 hrs on Saturday, 31 July.
Breakdown will take place from 1700 hrs on Wednesday, 4 August.
Please note that all exhibitors must be clear of their stand no
later than 1900 hrs to allow the exhibition company access to
breakdown.

| All exhibitors must register
with the Conference Registration Desk to receive an official ISMB/ECCB
conference name badge, which will be required for admission to
the Exhibition Hall. A special "private" registration
site will be set up for exhibiting companies to register their
personnel. We will send under separate cover a notice with instructions
on how to register. |

| All catering will be served
in Hall 4. Lunches are included for all personnel wearing a conference
name badge. Tea and coffee will be served during the official
tea and coffee breaks. |
| |
| During the build period catering
will be available from one of the catering outlets on a cash basis. |
| |
| It is the exhibitors’
responsibility to carry out correct customs formalities for equipment
and products arriving from abroad into the UK. HM Customs &
Excise office require 48 hours notice to process customs clearance.
The conference organisers may not be held responsible for any
difficulties that may arise in connection with such formalities.
GeoLogistics Expo Services, (download
pdf) the official freight forwarding company, will also be
pleased to offer a custom clearance service and to store packing
materials for the duration of ISMB/ECCB. Please see attached form
for information. |

| No nails, screws or other
fixtures may be driven into any part of the Premises including
floors. Nor may any part of the Premises be damaged or disfigured
in any way. Should any damage occur, the Exhibitor responsible
will be invoiced for any reparation charges incurred. |
| |
| Demonstrations and other special
activities must be located so that crowds will be comfortably
contained within the contracted display space and not blocking
any of the aisles. Distracting activities are subject to adjacent
exhibitor and ISMB/ECCB approval. Exhibitors must not
play loud music on their stand. |
| |
| Disabled toilets are located
throughout the SECC. There is also a lift on the Concourse opposite
Hall 1 entrance for use by wheel-chaired visitors. Car Park 3
is designated for disabled drivers. |
| |
| If you are using a contractor
other than Melville Beck to build or breakdown your stand you
must complete the Exhibitor Appointed Contractor (EAC) form (EAC
form is available here as a word doc). Exhibitors must inform
the EAC that they must abide by all rules and regulations of the
show and not solicit business on the Exhibit floor. EAC’s
are not exhibitors and they must wear their designated badges
at all times. An insurance certificate from this contractor showing
general liability coverage is also required. |

| Exhibitors are allowed access
to their stands one hour prior and one hour after the official
opening hours. If you require access beyond these times, you must
receive approval from ISMB/ECCB representatives at the Exhibition
Registration Desk. |

| Helium ball are not
permitted in the SECC. |
| |
|
It is understood that the exhibitor assumes entire responsibility
for and agrees to protect, indemnify, defend and save ISCB, ISMB,
ECCB and the SECC, and their respective consultants, agents, directors,
employees, licensees and assigns them harmless from and against
all claims, losses and damages to persons or property, governmental
charges of fines and attorney’s fees arising out of or caused
by exhibitor’s installation, removal, maintenance, occupancy
or the use of or part thereof negligently or otherwise, excluding
any such liability caused by the sole negligence of ISCB, ISMB,
ECCB, SECC or its employees and agents. |

| Proof of insurance must be
provided upon request. Exhibitors are to have a rider on their
current insurance policy to cover loss of, theft of or damage
to their exhibit or other personal property while it is located
at or is in transit to or from the SECC. The exhibitor shall indemnify
the SECC, Melville Beck Exhibitions, ISCB, ISMB and ECCB against,
and hold it and its representatives harmless from complaints,
suits or liabilities resulting from negligence of the exhibitor
in connection with the exhibits use of display space. The SECC,
Melville Beck Exhibitions, ISCB, ECCB and ISMB shall have no liability
for loss, damage or theft, through any cause, of goods, hand carried
items, exhibits, or other materials owned, rented or leased by
the exhibitor. Personal effects, souvenir handouts and other small,
easily removed valuable items should not be left unattended. In
no event shall ISCB, ECCB or ISMB have any liability for incidental,
consequential, special, indirect or punitive damages for any harm
arising from, or related to, the use of exhibit space under the
contract agreement. |

| Leaflets may not be distributed
from anywhere other than the exhibition stand without receiving
prior permission from the Organisers. Leaflets displayed or distributed
at any other point throughout the venue, without prior permission,
will be removed and destroyed by the Organisers. |

| Melville Beck Exhibitions
is responsible for maintaining in and out traffic schedules at
the show site. Even local exhibitors will need to clear all movements
of exhibit materials through this department which will have priority
at the loading dock at all times. SECC allows hand-carried items.
It is also recommended that drivers and exhibitors bring their
own trolleys to transport goods to and from their stands. This
will reduce the amount of time it takes to load and unload and
thereby assist with the free flow of traffic. Please complete

| The SECC has several visitor
Car Parks with space for approximately 2,795 vehicles.
Car Park 7 (shown on SECC Map) is the designated parking area
for Exhibitors. Parking is presently charged at £3.50 (inc
VAT) per car per visit.
Car Park 3 is designated for disabled drivers. |

| ISCB/ISMB/ECCB will provide
security guards in the exhibit area during the off-hours, and
will take reasonable precautions to safe guard exhibitor’s
property. Exhibitors are encouraged to remove any valuable items
from the exhibit area each evening. |
| |
| The SECC are unable to store
equipment or materials in advance of the conference. Please contact
GeoLogistic Expo Services (freight forwarding company)
(download freight handling form) who can assist with storage
of equipment and materials.
Deliveries may not be made prior to Saturday, 31 July. Any deliveries
prior to this date will not be accepted. Please be advised that
neither the Organisers nor the SECC can accept deliveries on an
exhibitor’s behalf and arrangements must be made for a stand/company
representative to be available when deliveries are made.

| Leith’s at the SECC are
the official suppliers for all catering services within the SECC.
Exhibitors/sponsors are not permitted to supply their own food
and drink without prior, written, consent from Leith’s.
Leith’s supply a comprehensive range of hot and cold beverages
and snacks and the appropriate equipment hire. Enquiries for all
catering services should be made to Leith’s using the attached

Any company providing refreshments to delegates must comply with
the food hygiene regulations (Food Safety Act 1990 and Food Safety
(General Food Hygiene) Regulations 1995. |

| Storage
Excess stock, literature or packing cases may not be stored on,
around or behind stands, unless contained within a lockable storeroom,
doors to much must have a vision panel. The SECC does not have
any storage facility for materials left on site outside of tenancy
times. Any items/materials left at the end of the tenancy will
be thrown away and a charge made to the individual exhibitor/contractor
concerned.
