Submit Special Session Proposal

ISCB-Africa ASBCB Conference 2025 welcomes Special Sessions proposals.  In its structure, each session(s) provides a more in-depth look at the subject matter presented. Proposals for special sessions should be submitted via the online submission system by February 17, 2025.

Special Sessions have the purpose of introducing the ISCB community and conference delegates to relevant 'hot’ topics. Sessions can be considered as mini-symposia on timely topics, or new emerging areas presented by top experts.

A wide range of topics is possible, as long as they are of relevance to computational biology and bioinformatics. We also encourage topics that are marginal to computational biology but clearly will need the involvement of such expertise in the near future. The proposed topics for Special Session might, for example, cover emerging themes the conference is not currently approaching with the desired proficiency. Some attractive topics include:

  • AI and LLMs
  • Plant Biology
  • Biodiversity informatics
  • Biomedical Data
  • Agricultural bioinformatics
  • Biomedical Ethics
  • Drug design and discovery
  • Text Mining


We encourage you to submit a proposal on an area that you deem as important to the computational biology community and may impact the future of the field.

Proposals should include the following details:

  1. Title (up to 20 words, preferably worded to pique delegates' interest)
  2. Topic: Describe the field to be covered by the session(s) and its relevance for conference participants (about one page)
  3. Meeting details
    1. Duration (no more than one hour)
    2. Expected sessions / topics,with an explanatory paragraph about each, if possible 
    3. A draft schedule showing how the sessions / topics will be organized including placement of keynotes, accepted talks, panel discussions, etc.
    4. How presentations will be selected (invitation, call for submissions, etc.)
    5. Possible speakers. This is not required, but may add weight to the proposal—indicate speakers who have already agreed to participate. NOTE: See Special Session Registration information for more details about compensation.
    6. Previous meetings of this with attendance statistics, if held before
    7. Potential sources of sponsorship for the session(s). ISCB provides session organizers with one-day complimentary registration for the invited speakers (maximum of two (2) per session) for those attending the conference for the sole purpose of presenting within the Special Session. We encourage the organizers to approach experts from related fields and communities that are not necessarily attending the conference routinely. Organizers will be responsible for raising sponsorship for additional complimentary registrations.
  4. Information about the organizers: full name (including title), affiliation, e-­mail and postal addresses, telephone numbers (work and mobile, if available, including country and city codes), URL of home page, and qualifications to organize this meeting.

Responsibilities of a Session Organizer

If your proposal is accepted, you will be responsible for most of the organization of your session, including:

  1. Creating and maintaining a webpage for your session
  2. Deciding the session structure including length of time talks and chairing the session
  3. Attending ISCB-Africa ASBCB 2025 and running the session
  4. if your session has invited talks or tutorials, communicating and coordinating with the speakers
  5. If your session has contributed papers or abstracts, your responsibilities are to:
    • Solicit manuscripts
    • Obtain reviewers, assign papers and abstracts to reviewers, and ensure timely return of reviews
    • Evaluate the reviews and make recommendations to the programme co-chairs regarding which papers or abstracts should be accepted
    • Updating the webpage for your session with the list of accepted papers and abstracts as well as providing the schedule of talks in your session.

Final decisions regarding acceptance of submitted papers will be made by the ISCB-Africa ASBCB programme co-chairs.

Special Session Registration

The conference can offer up to two (2) full conference registrations and up to four (4) one-day registrations. Special sessions will be held on Thursday, April 17. Organizers and presenters within the Special Sessions are responsible for their own travel costs. Organizers are encouraged to seek sponsorships and/or use grant funds available to them to cover their own and their speakers' travel and registration costs.

Submit Tutorial Proposal

The purpose of the tutorial program is to build knowledge and provide hands-on training in "cutting-edge" topics relevant to the bioinformatics field. Tutorials offer participants an opportunity to get an introduction to important established topics in bioinformatics, to learn about new areas of bioinformatics research, or to develop advanced skills in areas about which they are already knowledgeable.

Tutorials may include any form of presentation such as brief talks or panel discussions but should include hands-on exercises. Tutorials serve an educational function and are expected to provide a balanced perspective on a field of research. They should not focus on the presenters' own research or software, unless balanced with other tools in the same realm. However, tutorials on broadly used bioinformatics tools will be considered.

Tutorials organization

Tutorials can be planned to be either in-person or fully online, but should not be hybrid. (eg. tutorial presenters and participants should either be fully online or in-person).

Tutorials presented in-person will be held on Thursday, April 17. Tutorials presented online will be held on a weekday (TBD) prior to the conference start. If submitting an online tutorial proposal you will be asked to confirm your preferred time zone for presentation.

Tutorials to be held in-person on Thursday, April 17 will be scheduled as noted below:

Full Day Schedule: 9:00 am - 5:00 pm, (10:45-11:00 am Coffee; Lunch Break 1:00 pm - 2:00 pm)

Half Day Schedule: 9:00 am - 1:00 pm (Break at 10:45-11:00 am) or 1:00-5:00 pm (Break at 2:30 - 2:45 pm)

Times are subject to change based on accepted proposals.

Compensation

The conference organizers are able to offer a complimentary conference registration for up to 2 tutorial presenters. Tutorial organizers may choose to share the value of the complimentary registration if the tutorial has additional presenters. All additional costs (travel, hotel, etc) are the responsibility of the tutorial organizers.

Submitting a Tutorial Proposal

Tutorial proposals should contain the following information in a maximum of 4 pages:

  • Title of Tutorial
  • Abstract for Tutorial
  • Learning Objectives for Tutorial
  • Short promotional blurb for Tutorial if selected
  • Maximum number of attendees which can participate in the tutorial
  • Draft Schedule of the tutorial including coffee breaks (half-day or full-day schedule) - Include draft talk titles or draft content to be covered in each section
  • Identify and highlight blocks of hands-on content in your submission
  • Draft List of Tutorial Speakers with titles and affiliations
  • Intended audience and level - Describe the audience for which the Tutorial is aimed, and at which level it would be taught (e.g. beginner, past experience, advanced knowledge).

The final proposal must be uploaded as a PDF file only.

During the submission process be sure to provide a brief description of the tutorial that will be used on the website to promote it to delegates, and to confirm that if selected, you will submit draft and final tutorial materials for committee review by the listed deadlines.

Review of Tutorial Proposals

All tutorial submissions will be evaluated by a committee, which will consider the following criteria:

  • Relevance, interest, and value of the topic to ISMB attendees and COSI communities
  • The tutorial should achieve a good balance between the theoretical component and hands-on exercises
  • Completeness, clarity, and quality of the proposal and materials including schedule of tutorial
  • Educational value and effectiveness of the proposed presentation approach and FAIRness of the data, tools and content

Successful tutorial proposals will be notified by February 28, 2025 (no later than 17:00 Eastern Time (ET).

Tutorial Materials

The tutorial speakers agree to provide participants with teaching materials that include not later than April 8, 2025:

  • Copies of the final slides in Powerpoint or PDF format for posting online.
  • Copies of relevant articles/book chapters published by the presenters provided as Supplementary Information. Presenters will have to obtain copyright permission from their publishers, as required.
  • Links to repositories containing training materials.
  • Make your training materials FAIR (Findable, Accessible, Interoperable, and Reusable), as much as possible.

Copyright and Permissions

The authors must grant copyright to tutorial materials to the ISCB for a period extended from acceptance through December 31, 2025. Authors may also license their materials under the Creative Commons Attribution License 4.0. The Creative Commons Attribution License (CC-BY), of which CC-BY 4.0 is the most recent version, was developed to facilitate open access content. Open access content has to be freely available online, and through licensing materials and presentation under CC-BY, it is granted to unrestricted dissemination and re-use, with the single provision that proper attribution is given to the authors in any case of distribution and/or reuse. No warranties are expressed or implied using the CC-BY licensing.

We understand that some presenters will have valid reasons to avoid in-person attendance. ISCB will grant remote presentation options for reasons associated with maternity/paternity leave, care for a family member, personal/medical disability, sickness, financial hardship, or potential visa problems. If your research is accepted for oral presentation and you are unable to present in person, ISCB-Africa ASBCB 2025 requires notification at the time of acceptance and no later than March 17, 2025. You will be asked during your confirmation of participation to confirm your in-person participation. Any abstracts submitted after the deadline will be included only at the discretion of the conference chairs, and will be eligible for poster presentations only. Please also note that we can only allow one abstract per presenting author.

All talks will be recorded and available to participants as well as included in a live broadcast schedule as part of the virtual platform. All schedules will be posted on the ISCB-Africa ASBCB 2025 website.

In-Person Poster Hall: When preparing accepted posters please note that your printed poster should not exceed the following dimensions: 1.1 meters x 1.5 meters. There will be 1or 2 poster per side on the each poster board. Additionally, we ask that you also follow the Virtual Poster Theater information below in addition to your in-person presentation. This ensures all posters are viewable to both in-person and virtual attendees thus providing more exposure to your work.

Virtual Poster Theater: When preparing accepted posters please note that your poster will need to be uploaded via the virtual platform portal in two formats - a PDF of the poster and a 5-7 minute flash talk video not to exceed 100MB. Poster portal information will be sent to all approved posters closer to the conference and after the notification deadline. All presentations MUST be uploaded on specific dates the week of April 1st*. More specific dates will be given closer to the conference.
*Late Breaking posters will have a very short turn-around.

Talks will be broadcast live through the virtual platform for participants.

All virtual talk presenters will be required to provide a pre-recorded talk in advance of the conference. The pre-recorded talk will be used in case of any unforeseen circumstances that prevent a live presentation by the presenter.

We require that in-person presenters upload, at minimum, a pdf or an mp4, but prefer you upload both so that our virtual attendees get the most from your work.  This also serves to extend the life of your work so that all attendees are able to watch it on-demand after the conference. Virtual presenters are required to upload both.

Payment Options

ISCB-Africa ASBCB 2025 conference fees are charged in USD. The following credit/gift cards are accepted for registration: MasterCard and Visa.

Wire Transfer or Cheque

Last day to pay by wire or check Ends on March 30, 2025 - after this time only Credit Card payment is accepted

Delegates wishing to pay using a wire transfer will select “pay by wire” on the Additional Options page and the Payment page during registration to create an invoice. Wire transfer information will be found on the summary page once registration is complete, as well as at the bottom of their PDF invoice.

Please note that any bank fees must be paid by the participant. Should funds arrive with bank fees deducted, payment of the difference will be charged to the participant at on-site registration.

Media Release Statement

ISCB intends to take photographs and video of this event for use in ISCB news, media, and promotional material, in print and electronic, including the ISCB website and social platforms.  As an international society ISCB is GDPR compliant. During your registration you will be asked to provide ISCB with permission to use any incidental capture of your voice or likeness for our promotional material.

ISCB will record all presentations given at the conference.  Presenters will be asked to submit a Confirmation of Participation, during which they will be asked for permission under CC-BY4.0 for ISCB to a) keep the recording and b) share the recording.  Instances where permission to keep the recording have been denied will be fulfilled as early as ISCB is able to edit the recordings.

Cancellation Policy

Requests for registration cancellation must be made in writing and emailed to This email address is being protected from spambots. You need JavaScript enabled to view it. prior to April 1, 2025.

  • Delegates registering no later than March 17, 2025 are eligible for a full conference refund at any date prior to the opening day of the conference should your plans change. No cancellation fee applies.
  • Delegates registering after March 17, 2025 will be refunded less a $50.00 administration fee.
  • No refunds are available after April 1, 2025.

Controlled Access to Meeting Content

Only registered participants will have online access to the conference while it is live, and for 6 months afterwards, through the virtual platform. Presenters are asked to provide permission to ISCB to keep and, separately, to share the recording of their talks.  Any recordings for which ISCB was granted permission to keep the recording will be available to registered participants via the virtual platform for so long as it is open.  Only those presentations for which ISCB has permission to share the recordings will be posted to our YouTube channel and the Nucleus Content Library.  This permission can be updated at any time.

Why aren't extensions allowed?

Every file that's uploaded needs to be processed, that's a video from every virtual talk, a video and/or PDF from every in-person poster, and a video and a PDF from every virtual poster.  This takes a substantial amount of time on top of travelling to the venue (often internationally), setting up the venue, coordinating volunteers, opening the virtual platform, troubleshooting attendees who try to access said platform, printing delegate name tags, preparing opening slides, organizing awards, identifying dietary requirements, running pre-conference tutorials, processing recordings from completed tutorials, answering questions from delegates who are arriving at the venue, organizing all other ongoing ISCB conferences and affiliated events, and continuing day-to-day upkeep for the Society.  These deadlines don't exist in a vacuum which is why they're broadcast as early and often as they are.
